n8n vs Make vs Zapier: Which Automation Tool Should a Small Business Use?

The short version

All three can connect a form to a CRM, post a Slack message or update a spreadsheet. The differences show up as workflows grow: how many steps they have, how much logic they need, how many times they run, and who has to maintain them.

When Zapier is the right choice

Zapier is built for speed and simplicity. If a non-technical team member needs to connect two popular apps this afternoon, Zapier is usually the fastest path, and its app library is the largest of the three.

• Short workflows: a trigger and a few actions
• Teams without a developer who need to own their automations
• Low to moderate volume, where per-task pricing stays affordable

The trade-off: complex branching gets awkward, and because pricing is per task, a workflow that runs thousands of times a month with many steps can become the most expensive option.

When Make is the right choice

Make (formerly Integromat) uses a visual canvas where you can see data flow through routers, filters and iterators. It handles multi-branch scenarios more naturally than Zapier and is often cheaper for the same workload.

• Workflows with several paths depending on the data
• Processing lists of items, such as every row, order or email in a batch
• Teams comfortable with a slightly more technical, visual builder

When n8n is the right choice

n8n combines a visual workflow editor with full code steps, so anything a developer could script can live inside a workflow. It can call any API through HTTP request nodes, run AI steps, and be self-hosted on your own server, which keeps data in your infrastructure and makes costs predictable at high volume.

• Custom business logic that would be clumsy in a no-code builder
• AI agents and LLM steps, such as classifying, summarizing or drafting replies
• High-volume workflows where per-task pricing would add up
• Data-sensitive processes that should run on your own infrastructure

The trade-off: n8n rewards some technical skill. Self-hosting also means someone owns updates, backups and monitoring, or you use n8n's cloud plan instead.

How I usually decide with clients

1. 1Start with what you already pay for. Moving tools has a real cost, and many workflows fit fine where they are.
2. 2Estimate volume. Count how often the workflow runs and how many steps it has; that usually settles the cost question.
3. 3Consider who maintains it. If your team will edit it themselves, favor the tool they find easiest to read.
4. 4Choose n8n for logic-heavy, AI or high-volume work. Most of my own automation builds, such as the Facebook Ads reporting workflow and the Henry project-manager bot, run on n8n for exactly these reasons.
